Who we are

SENA Fitness Inc. ("SENA", "we", "us") is a coaching studio based in Calgary, Alberta, operating inside residential buildings across the Beltline. We are responsible for the personal information described in this policy.

What we collect

We collect information only when you give it to us through a form on this site, when you contact us directly, or automatically as you browse.

When you book a session, we collect your first and last name, e-mail address, phone number, your primary training goal, optionally how you heard about us, and anything you write in the message field.

When you enquire about a building partnership, we collect your first and last name, e-mail address, phone number, the building or property name, the number of units, and anything you write in the message field.

When you request the free training plan, we collect your first and last name and your e-mail address.

When you subscribe to the newsletter or ask to be notified about SENA Wear, we collect your e-mail address.

As you browse, and only if you accept analytics cookies, we collect aggregate usage data — pages viewed, referring site, approximate region, device and browser type. This is measurement data, not a profile of you.

We do not ask for payment card details through this website, and we do not collect health information through it. [CONFIRM: how payments are actually taken, and whether health/PAR-Q information is collected in person or through another tool — if it is, it needs its own paragraph here, since health information is sensitive.]

Why we use it

We use the information you send us to:

• contact you about the session or enquiry you submitted, and arrange it;
• deliver the coaching, classes or programs you sign up for;
• send the free plan, newsletter or launch notice you asked for;
• answer questions and provide support;
• keep the site secure, and understand which pages are useful.

We do not use your information to make automated decisions about you, and we do not sell it.

Our legal basis for using it

We rely on your consent, given when you submit a form or accept a cookie category, and on the reasonable purposes permitted under Alberta's Personal Information Protection Act and Canada's Personal Information Protection and Electronic Documents Act. You can withdraw consent at any time — see "Your choices" below.

Cookies and analytics

The site sets no analytics, marketing or preference cookies until you accept them in the cookie banner. Necessary cookies — the ones that make navigation, security and remembering your cookie choice work — cannot be switched off.

Only the analytics category currently does anything: accepting it loads Vercel Analytics, which measures page views and traffic sources. Decline it, and the analytics script is never loaded at all. The marketing and preference categories are listed because they are part of the choice we offer, but no script currently reads them.

Your cookie choice is stored in your own browser, not on our servers. Clearing your browser storage clears it, and the banner asks again. You can change your choice at any time through the "Cookie settings" link in the site footer.

Who else sees your information

We share personal information only with the service providers who help us run SENA, and only with what they need:

• MailerLite — e-mail delivery, for the newsletter, the free plan and the launch notice. Your e-mail address, and the name and enquiry details tied to it, are stored there.
• Vercel — hosting and, if you accept analytics cookies, site analytics.
• Sanity — the content management system behind the pages you read. It stores our content, not your personal information.

[CONFIRM: every other tool that receives an enquiry — a CRM, a scheduling tool, a payment processor, a shared inbox. Anything not listed here is a gap in the policy.]

We also disclose information where the law requires it, or to protect our rights, safety, or property.

We never sell your personal information, and we never share it for another organisation's own marketing.

Where it is stored

[CONFIRM: the regions your providers store data in. MailerLite and Vercel both process data outside Canada, which has to be disclosed under PIPA, including that it may be accessible to foreign courts and authorities. Do not publish this section until the regions are confirmed.]

How long we keep it

[CONFIRM: a real retention period per purpose — e.g. how long an unconverted enquiry is kept, how long client records are kept after coaching ends. "As long as necessary" alone is not a period.]

You can ask us to delete your information sooner. Where we are required to keep records — for tax or liability reasons — we keep only those records.

Your choices and your rights

You can:

• unsubscribe from any marketing e-mail using the link in its footer;
• change or withdraw your cookie consent through the footer link;
• ask what we hold about you, and ask for a copy;
• ask us to correct anything inaccurate;
• ask us to delete your information, subject to what we must keep.

Write to getsenafit@gmail.com and we will respond within the timeframe set by Alberta's PIPA — 45 days.

If you are not satisfied with our answer, you can contact the Office of the Information and Privacy Commissioner of Alberta.

How we protect it

Access to enquiry and client information is limited to the coaches and staff who need it. The site is served over HTTPS, and form submissions are validated and size-limited before they are processed. No system is perfectly secure, but we do not log the contents of your enquiries in our application logs.

Children

[CONFIRM: the minimum age SENA coaches, and whether a parent or guardian signs up minors. This section has to state a real policy, not a boilerplate "our services are not directed to children under 13".]

Changes to this policy

We update this policy when what we do with information changes. The effective date at the top always tells you which version you are reading; material changes will be announced on the site [CONFIRM: and/or by e-mail to active clients?].
